Our client is seeking a highly organised, proactive, and discreet Personal Assistant to provide dedicated support to a busy Executive Office within a professional services environment.

This is a trusted and business-critical role, ideally suited to an individual who thrives in a fast-paced setting, demonstrates exceptional attention to detail, and can confidently manage competing priorities while maintaining the highest levels of professionalism and confidentiality.

Key Responsibilities

  • Managing a complex and ever-changing executive calendar, ensuring effective scheduling, prioritisation, and coordination of meetings and commitments.
  • Coordinating meetings from start to finish, including agenda preparation, logistics management, minute-taking, and follow-up on key actions.
  • Acting as a central point of contact for internal and external communications, screening, prioritising, and drafting correspondence as required.
  • Preparing high-quality presentations, reports, briefing packs, and business documentation to support executive decision-making.
  • Supporting financial and administrative processes, including expense management, invoice coordination, and related documentation.
  • Maintaining organised and secure document management systems in line with GDPR requirements and internal policies.
  • Assisting with the day-to-day management of the office environment, ensuring efficiency, organisation, and professionalism.
  • Managing relationships with clients, service providers, and internal stakeholders, acting as a professional representative of the Executive Office.
  • Coordinating domestic and international travel arrangements, including detailed itineraries, accommodation, and logistics.
  • Providing support during audits, regulatory reviews, and business projects as required.
  • Assisting with the planning and execution of events, meetings, and corporate activities.

Candidate Profile

  • 3–5 years' experience in a Personal Assistant or Executive Assistant role supporting senior leadership.
  • Exceptional organisational and time-management skills, with the ability to manage multiple priorities and deadlines effectively.
  • Strong written and verbal communication skills, with experience preparing professional business correspondence and documentation.
  • High levels of discretion, integrity, and professionalism.
  • Proactive and solutions-oriented, with strong attention to detail and the ability to work independently.
  • Confident interacting with senior executives, clients, and external stakeholders.
  • Proficient in Microsoft Office and modern digital collaboration tools.
  • Sound understanding of confidentiality, data protection requirements, and professional standards within a corporate environment.
