Job Description:
Our client is seeking a highly organised, proactive, and discreet Personal Assistant to provide dedicated support to a busy Executive Office within a professional services environment.
This is a trusted and business-critical role, ideally suited to an individual who thrives in a fast-paced setting, demonstrates exceptional attention to detail, and can confidently manage competing priorities while maintaining the highest levels of professionalism and confidentiality.
Key Responsibilities
- Managing a complex and ever-changing executive calendar, ensuring effective scheduling, prioritisation, and coordination of meetings and commitments.
- Coordinating meetings from start to finish, including agenda preparation, logistics management, minute-taking, and follow-up on key actions.
- Acting as a central point of contact for internal and external communications, screening, prioritising, and drafting correspondence as required.
- Preparing high-quality presentations, reports, briefing packs, and business documentation to support executive decision-making.
- Supporting financial and administrative processes, including expense management, invoice coordination, and related documentation.
- Maintaining organised and secure document management systems in line with GDPR requirements and internal policies.
- Assisting with the day-to-day management of the office environment, ensuring efficiency, organisation, and professionalism.
- Managing relationships with clients, service providers, and internal stakeholders, acting as a professional representative of the Executive Office.
- Coordinating domestic and international travel arrangements, including detailed itineraries, accommodation, and logistics.
- Providing support during audits, regulatory reviews, and business projects as required.
- Assisting with the planning and execution of events, meetings, and corporate activities.
Candidate Profile
- 3–5 years' experience in a Personal Assistant or Executive Assistant role supporting senior leadership.
- Exceptional organisational and time-management skills, with the ability to manage multiple priorities and deadlines effectively.
- Strong written and verbal communication skills, with experience preparing professional business correspondence and documentation.
- High levels of discretion, integrity, and professionalism.
- Proactive and solutions-oriented, with strong attention to detail and the ability to work independently.
- Confident interacting with senior executives, clients, and external stakeholders.
- Proficient in Microsoft Office and modern digital collaboration tools.
- Sound understanding of confidentiality, data protection requirements, and professional standards within a corporate environment.
